Utaina Logistics Coordinator

The National Library and Archives NZ have extensive audiovisual (AV) collections and holdings, providing a unique record of the activities of New Zealand individuals, whanau, iwi, organisations, and government departments throughout history.

We will be digitising these AV collections and holdings – c.115,000 items, under a mass-digitisation project called Utaina. We have an exciting opportunity for a Logistics Coordinator to join the National Library and be part of the Utaina project.

As the Utaina Logistics Coordinator, your key focus will be:

• Overseeing the inventory movement and location control of AV items in scope for our project

• Liaising with project team to plan and develop digitisation manifests in accordance with vendor’s digitisation schedule, to ensure we meet our weekly throughput targets

• Coordinate, oversee and monitor the packaging, sending and receiving of these items in batches together with Collections Registrar, Preservation Technicians and transport agency.

• Ensuring standards, systems and processes are maintained so that Utaina AV items are appropriately packaged, labelled, transported with accurate status and tracking information recorded.

To be successful in this role, you will need:

• Experience in repository or warehouse logistics management

• Experience in implementing innovative business processes taking competing priorities into account

• Knowledge and understanding of storage systems and planning

• Understanding of Mātauranga Māori and the need to reflect a Māori perspective

• Strong operational planning, resource and task management skills - ability to prioritise and manage several tasks simultaneously

• Superior problem-solving skills with demonstrated ability to quickly understand complex information and systems, and develop innovative and effective solutions

• Excellent communication and relationship management skills – able to establish, build & manage relationships at all levels with key stakeholders 

• Experience working in a project environment an advantage

The National Library sits within the Information and Knowledge Services branch, the Department’s epicentre of information management, culture and heritage. Our branch is all about collecting, storing and the preservation of important things that are precious to New Zealand.
